Assistant to COO - Beijing

Main Responsibilities:

- Handle a variety of administrative details. Review ongoing activities with the COO to assure appropriate understanding of the objectives and priorities.
- Act as liaison between COO and other managers and staff within the company to assure appropriate coordination and follow-up on day-to-day operations.
- Receive, review, and screen incoming mail, e-mail, voice mail, faxes, attaching background material as appropriate; refer to appropriate individuals for handling and/or information; take action personally whenever possible.
- Compose and draft letters or memoranda or agendas or meeting minutes as appropriate. Edit as appropriate and assure accuracy of grammar and detail. Chinese / English translation where required.
- Maintain COO's calendar; make appointments and arrange meetings on a regular or unscheduled basis; prepare appropriate notice; gather and prepare pertinent background material; research; tracks matters requiring follow-up, etc..
- Manage time; help the COO to be more productive and effective in his role and achieve objectives.
- Make travel and hotel reservations, including international travel; arranges visas, prepares itineraries, meetings, etc.
- Contacts personnel at all levels for information-gathering purposes. External contacts with officials or other executives in various sectors. Share information as needed with staff and management team.
- Perform research and analyses on market and business issues as required from time to time.
- Supervise and coordinate the work of designated employees reviewing completed work for adherence to instructions and for correctness.
- Organize and safe keeping of documents and files.
- Preparation of presentations according to need.
- Perform other related duties incidental to the work described herein.

Requirements:

- Undergraduate degree, 1-2 years working experience.
- Excellent English writing skills and good spoken English. A thorough knowledge of business English, including spelling and punctuation.
- Detailed oriented, multi-taker; Able to work under pressure.
- Excellent judgment, tact, complete discretion, and ability to work under stress and cope with changing priorities.
- Excellent interpersonal skills and ability to communicate effectively.
- Ability to work as a member of the "team".
- Organized (give proactive support to COO!).
- Willing to take responsibility, must show initiative.
- Excellent computer skills, including Word, Excel and PowerPoint.
